Privacy and data requests

You can ask for access to, correction of, export of, or deletion of personal data handled through Sharkflow. What we can provide or delete depends on whether Sharkflow or one of our customer organizations is responsible for the data and whether a legal retention requirement or another exception applies.

Registered Sharkflow users

Sign in and use the privacy section on your profile page. You can request a machine-readable copy of your platform data, track its status, download it when ready, or submit a deletion request. The deletion form asks you to re-enter your account email as a safety check.

Employees, customers, and other data subjects

If an organization uses Sharkflow to hold information about you, contact that organization first because it usually decides why the information is processed. You may also email [email protected] with:

  • your name and preferred contact details;
  • the Sharkflow customer organization involved;
  • the type of request and the data or interaction concerned; and
  • enough information for us to locate the record.

Please do not email passwords, full identity-document numbers, or other unnecessary sensitive data. We may ask for proportionate additional information to verify identity and will coordinate with the responsible customer organization where required.

What happens next

We record the request, verify the requester where necessary, identify the responsible organization and systems, and communicate the outcome. Timing depends on the applicable law, request complexity, identity verification, and any lawful exception. We will explain if data cannot be provided, corrected, or deleted.

Retention and exceptions

A deletion request does not automatically erase records that must be kept for legal, security, fraud-prevention, dispute, or legitimate business reasons. For example, Singapore business and tax records may need to be retained for at least five years from the relevant year of assessment. Where permitted, we restrict or remove personal identifiers that are no longer needed while preserving required records.
