These Terms govern access to the Sharkflow multi-tenant business operations platform and related services (the "Service"). By creating an account, accepting an invitation, or using the Service, you agree to these Terms and acknowledge our Privacy Policy. If you use the Service for an organization, you confirm that you have authority to bind that organization.

1. Accounts and eligibility

You must provide accurate account information, keep credentials secure, and promptly report suspected unauthorized access. Accounts are personal and may not be shared. The customer organization controls its members, roles, connected services, and the business data submitted by its users.

2. The Service

Sharkflow provides organization-scoped tools for areas such as storage, finance, HR, communications, commerce, workflows, scheduling, and AI-assisted operations. Features depend on the customer's plan, configuration, and connected providers. We may improve or change the Service, provided we do not materially reduce paid core functionality during a current subscription term without reasonable notice.

3. Customer data

The customer retains its rights in data submitted to the Service. The customer grants Sharkflow the limited right to host, process, transmit, back up, and display that data as needed to provide, secure, and support the Service. The customer is responsible for having a lawful basis and required notices or permissions for the data it submits and for responding to people whose data it controls. Our handling of personal data is described in the Privacy Policy and any applicable data processing agreement.

4. AI and automated features

AI, OCR, and automation output can be incomplete or incorrect. The customer must review output before relying on it for legal, tax, accounting, employment, payment, filing, or other consequential decisions. Sharkflow does not provide legal, tax, accounting, or employment advice, and automated output does not replace qualified professional judgment. Actions requiring confirmation remain the customer's responsibility when approved.

Enabling an AI or OCR feature authorizes Sharkflow to send the content needed for that task to the identified AI subprocessors. Their retention, review, and model improvement or training practices are governed by their applicable terms, service tier, and account settings, as explained in the Privacy Policy.

5. Acceptable use

You must not:

  • use the Service unlawfully or infringe another person's rights;
  • upload malware or attempt to bypass security or access controls;
  • access another organization's data without authorization;
  • probe, disrupt, overload, scrape, or reverse engineer the Service;
  • use the Service to send spam, deceptive communications, or prohibited content; or
  • resell or provide the Service to third parties except under a written agreement with Sharkflow.

6. Fees and billing

Paid plans renew for the period shown at checkout unless canceled. Prices exclude applicable taxes unless stated otherwise. Seats, modules, and metered usage may affect the recurring charge. Included allowances, current usage, and available spending controls are shown in billing settings. Unless a limit is configured, eligible usage can continue into metered overage. An AI credit limit stops unattended automation at the configured amount but does not stop user-initiated work. A storage limit is currently a monitoring threshold, not an upload-blocking control.

7. Third-party services

Connected services such as payment, email, commerce, logistics, and AI providers are governed by their own terms. The customer authorizes Sharkflow to exchange data with providers it enables. We are not responsible for a third-party service's availability, acts, or terms, but we remain responsible for our own obligations when using a subprocessor.

8. Security and confidentiality

Each party will use reasonable safeguards for confidential information. Sharkflow maintains technical and organizational measures appropriate to the Service. The customer must manage member access, use secure devices, protect integration credentials, and remove access that is no longer needed.

9. Intellectual property

Sharkflow and its licensors own the Service, software, documentation, trademarks, and improvements. Subject to these Terms and payment of applicable fees, Sharkflow grants the customer a limited, non-exclusive, non-transferable right to use the Service during its subscription. Feedback may be used without restriction and without identifying the customer.

10. Suspension and termination

We may suspend access to address a security threat, unlawful use, material breach, or overdue payment, using reasonable notice where the circumstances allow. A subscription cancellation takes effect at the end of its current billing period unless an order states otherwise. After termination, access ends and customer data is retained or deleted under the Privacy Policy, legal obligations, and any agreed export window. Account holders can request an export from their Account page.

11. Warranties and liability

The Service is provided on an "as available" basis. To the extent permitted by law, Sharkflow disclaims implied warranties and is not liable for indirect, incidental, special, consequential, or lost profit damages. Sharkflow's aggregate liability arising from the Service will not exceed the fees paid by the customer for the Service in the twelve months before the event giving rise to the claim. These limits do not apply where liability cannot lawfully be excluded or limited.

12. General

These Terms and any applicable order or data processing agreement form the agreement between the parties. Singapore law governs the agreement, and the courts of Singapore have exclusive jurisdiction, unless an agreed order states otherwise. We may update these Terms prospectively; material changes will be notified before they take effect. Continued use after the effective date constitutes acceptance where permitted by law.
