Run payroll, CPF, and IRAS AIS

What you need

Run payroll preflight

Do not calculate around missing employee setup.

  1. Confirm the pay period, entity, and payment date.
  2. Clear missing CPF profiles, bank accounts, basic pay, and working-time terms.
  3. Approve time, leave, claims, allowances, deductions, and pay changes.
  4. Review starters, leavers, work-pass holders, directors, and employees with exceptional payments.
  5. Freeze input changes for the calculation window.

Calculate and review

Preparation and approval should be attributable to different authorized users.

  1. Create the payroll run and calculate draft line items.
  2. Compare gross pay, CPF, deductions, net pay, and exceptions with source records.
  3. Resolve exceptions in HR Review rather than overriding the output silently.
  4. Have the approver review totals and a risk-based sample of employee lines.
  5. Approve the run only when evidence and exception status are complete.

Publish, pay, and post

Payslip publication, employee payment, statutory payment, and GL posting are distinct completion states.

  1. Publish itemised payslips to authorized employee self-service.
  2. Generate or approve the bank payment output and complete payment through the bank.
  3. Post the approved payroll journal to Finance and reconcile the payroll clearing accounts.
  4. Preserve the approved run, payslip, bank acknowledgement, and journal evidence.

Complete CPF submission and payment

CPF EZPay requires a CSN and authorized access. A submission is complete only after payment succeeds.

  1. Generate the contribution details for the correct contribution month.
  2. Upload through CPF EZPay FTP or enter/review details in CPF EZPay, according to the configured mode.
  3. Verify wages and contribution totals before payment.
  4. Complete Direct Debit or PayNow QR payment.
  5. Confirm successful status in CPF EZPay and retain the record of payment.

Prepare IRAS Auto-Inclusion Scheme records

AIS is compulsory for employers with five or more employees and for employers specifically notified by IRAS; registered participation continues.

  1. Confirm whether the organization is registered or required to participate.
  2. Include the required employee and director populations for the reporting year.
  3. Review IR8A and applicable appendices against approved payroll records.
  4. Submit through the authorized IRAS channel by the applicable deadline.
  5. Retain acknowledgement and correct amendments through the official amendment flow.

Do not treat a generated file as a filed return. Verify the official portal acknowledgement.

Troubleshooting

  • Payroll approval is blocked: complete every active employee’s effective CPF profile, bank account, basic pay, and working-time terms.
  • CPF totals differ: check the contribution month, wage classification, employee status, and latest official rates.
  • AIS records differ from payslips: reconcile the annual payroll ledger and exceptional taxable benefits before submission.
